Body Corporate to hold an Annual General Meeting by email utilising Postal Voting.

What is an AGM?
The Annual General Meeting is a mandatory assembly of owners who make up Body Corporate 326916, Nova en Scotia Apartments.
Each meeting requires a minimum of 23 unit owners(a quorum) to:
- Attend in person, or to;
- Give their PROXY to someone, 16 years and over, who will represent them at the meeting.(Proxy form is required)
- or send in their POSTAL VOTE by the due date.
Your participation is important. Without a quorum the meeting can not go ahead and another will have to be called at the Body Corporate's expense.
What happens at the AGM?
The meeting is generally facilitated by the Body Corporate Manager, aka Body Corporate Secretary, along with the Committee Chairperson. They will go over the previous years accounts and events with the present owners and who will then:
- Approve the operating budget for the coming year. (this is what your levy is based on)
- Vote on any resolutions put forward by the Committee and/or Owners.
- Vote for the Chairperson and committee members
- Discuss any issues relating to the building. Otherwise known as 'General Business'.
Discussion is always welcome, but the AGM can not vote on any issues, or candidates for the committee, if they have not been submitted to the Secretary before the postal votes are mailed out, no less than 15 days prior to the meeting being held.
Please keep an eye out for the pre-AGM emails which will let you know when you can submit your candidacy for the committee, ideas, or issues to be voted on, at the AGM.
What AGM emails will be sent out?
1st Mail out:
- Announcement of the AGM and when and where it will be held.
- The request for Nominations for Committee Members and the Chairperson. Any principal owner may be on the committee ballot.
- Requests for anything the owners will need to vote on, for example, Body Corporate Rule changes or spending such as, new carpet, etc. Each item to be voted on is called a Resolution.
Owners will have 7 days to get nominations and resolutions back to the secretary.
2nd Mail out:
- At least 2 weeks before the AGM
- Minutes of the previous AGM
- Accounts
- Postal Voting Papers (return to the Secretary if not attending the meeting)
- Proxy Form (Return to the Secretary if sending someone to represent you)
3rd Mail out: Post AGM
- Approved Budget
- Minutes of the Meeting
- Body Corporate Levy Invoice
Postal Votes or Proxy Forms must get to the office by the stated cut off date.
What Are Body Corporate Levies?
This is the annual fee an owner pays to the body corporate to help cover the running costs and upkeep of the building. Levies are calculated based on the individual ownership interest percentage.
When Are The Levies Due?
At Nova en Scotia the Annual Levy is split into two payments due on the same dates each year.
First Levy - 20th of November
Second Levy - 20th of April
How can I pay my Levy?
We have several payment options which are noted on your invoice. They include direct payment to the bank, monthly direct debit, and credit card via PayPal.
Feel free to contact the Secretary(Body Corporate Manager) to see which may be the best option for you.
Please make sure the Secretary has your current details to avoid missing out on your 10% prompt payment discount. This can be hundreds of dollars!
